Why give a rent receipt

A rent receipt is the tenant's proof that rent was paid and the landlord's record that it was received. It settles disputes about whether a month was paid, and it is the document a tenant is most often asked for when applying for their next home.

Several states require landlords to give a written receipt for rent paid in cash, and some require one on request whatever the payment method. Giving one for every payment is the simplest way to stay on the right side of those rules.

What a rent receipt should include

The date the payment was received, the amount, who paid it and who received it, the property address and unit, and the period the rent covers. Add the payment method and, for a check or transfer, its reference number.

Number your receipts in sequence and keep a copy of each. If a payment is partial, say so in the note and state the balance still owed, so the receipt cannot later be read as payment in full.

Worked example

A tenant pays November's rent of $1,500 by check on November 3. The receipt records the receipt number, the date, the amount, the period November 1 to November 30, the check number, the property address and the landlord's name and signature.

This tool lays out a receipt from the details you enter. Requirements for rent receipts vary by state and city; check the rules where your property is.

Frequently asked questions

Do landlords have to give rent receipts?

It depends on the state. Several require a receipt for cash payments, and some require one whenever the tenant asks. Even where it is not required, a receipt protects both sides.

Can a rent receipt be a PDF?

Yes. An emailed PDF is a common way to give a receipt, as long as it carries the same details as a paper one. Use your browser's print dialog to save this receipt as a PDF.

Should I give a receipt for a partial payment?

Yes, and note on it that the payment was partial and how much is still owed. That keeps the receipt from being read later as rent paid in full.

Is my information stored anywhere?

No. The receipt is built in your browser; nothing you type is sent to a server or saved. Close the page and it is gone, so print or save the PDF before you leave.
