Why inspect at move-in and move-out

A move-in inspection records the condition of the unit before the tenant has lived in it. At move-out, you walk the same list again, and the difference between the two columns is what you can fairly charge to the security deposit.

Without a signed move-in record, it is your word against the tenant's about whether a scratch, stain or broken blind was already there. Several states require landlords to offer a move-in checklist, and courts look for one when a deposit deduction is disputed.

How to use the checklist

Walk the unit with the tenant at move-in, room by room, and write down the condition of every item, even the ones in good shape. Take dated photos as you go, and both sign the sheet. Give the tenant a copy.

At move-out, use the same sheet. Normal wear and tear, such as faded paint or light carpet wear after years of living, is generally not deductible; damage beyond that, such as holes, burns or broken fixtures, usually is.

Example

A two-bedroom, one-bathroom apartment with a laundry closet gets eight sections: entry, living room, kitchen, two bedrooms, the bathroom and the laundry, each listing the walls, floors, fixtures and appliances that room typically has.

This checklist is a starting point. Some states prescribe the form or timing of move-in inspections and deposit deductions; check the rules where your property is.

Frequently asked questions

What should a move-in inspection checklist include?

Every room, and in each room the walls, ceiling, floor, windows, doors, lights, outlets and every fixture or appliance, with columns for the condition at move-in and at move-out and space for notes.

Should the tenant sign the move-in checklist?

Yes. A checklist signed and dated by both of you, with photos, is far stronger evidence in a deposit dispute than one filled in by the landlord alone.

What counts as normal wear and tear?

The gradual deterioration that comes from ordinary living: faded paint, minor scuffs, light carpet wear, loose door handles. It is generally not deducted from a deposit, unlike damage such as holes, stains or broken fixtures.

Can I fill in the checklist on screen?

This tool builds the checklist for your unit; print it or save it as a PDF and fill it in by hand during the walk-through, where the tenant can sign it.
