Management-company invoicing

If you manage properties for other owners, Porchyard drafts each owner an invoice every billing period, with your fee applied and their net payout shown.

If you manage properties on behalf of other owners, Porchyard invoices those owners for you. Each management agreement drafts its own invoice at the end of every billing period, built from the property's transactions, with your management fee applied. Management-company invoicing is included in every plan.

Before you start

Make sure the owners you bill are set up as owner records and attached to the properties you manage for them. See Manage property owners if you have not done this yet.

Set up the management agreement

Open the owner and add a management agreement for each property you manage for them. It sets:

  • The billing period -- monthly or quarterly.
  • Your management fee -- a flat amount, or a percentage of the period's income.

Review the draft

At the end of each billing period, the agreement's invoice appears under Invoicing -> Drafts. Its line items come from the property's transactions for the period:

  • Income -- what the property took in.
  • Expenses -- what was paid out for the property.
  • Management fee -- calculated from your agreement.

Add or edit line items for anything else, such as a commission or an adjustment, before you send. The invoice's net amount is the owner's payout, or the balance they owe you when expenses and your fee come to more than the period's income.

Missed a period? New Invoice -> Backfill from agreement generates the invoice for a past period that was not billed automatically.

Send and track

Choose Mark as Sent and Porchyard emails the owner the invoice PDF, at the address on their owner record. Choose Record Payment once it is settled. A sent invoice that passes its due date unpaid is marked overdue for you.

Keep owners in the loop

  • Keep contact details current. The invoice goes to the email on the owner record.
  • Attach backup. Keep receipts for pass-through costs on their transactions so you can answer questions quickly.
  • Track status. The Invoicing list shows which invoices are outstanding, overdue, or paid for each period.
